Modernizing Conference Room Facilities for NADMA Headquarters
Information moves at lightning speed nowadays, and the efficiency of a government agency is often defined by the quality of its communication infrastructure.
For high-level decision-making bodies, the boardroom is no longer just a space with a table and chairs; it is a strategic hub where technology must facilitate seamless, real-time dialogue. As Malaysia continues to digitize its public sector operations, the demand for stable, high-definition, and intuitive meeting environments has become a critical necessity for administrative excellence.
Recognizing the need to modernize their existing facilities to meet these evolving standards, NADMA (National Disaster Management Agency) sought a partner capable of delivering a sophisticated, reliable communication ecosystem. Consequently, NADMA appointed V-Series International to undertake the complete renovation and implementation of a total turnkey conference room solution for their primary boardroom.
Project Insights
As the central authority for agency coordination, the boardroom at NADMA HQ serves as the vital venue for internal planning, ministerial briefings, and multi-agency dialogues. To maintain the high level of professionalism required for these sessions, the client recognized that their legacy equipment no longer met the demands of modern hybrid communication and high-resolution data sharing.
The objective was to transition from a fragmented hardware setup to a unified meeting room system that prioritizes user experience and technical longevity. To streamline the decision-making process, we identified a few core pillars that the new system needed to satisfy:
Visual Precision
The Issues: Legacy projectors caused “wash-out” effects and poor legibility for detailed data and spreadsheets.
Client’s Expectations: 100% clarity and color accuracy from every viewing angle, even in brightly lit rooms.
Uniform Audio Clarity
The Issues: Uneven sound pickup and distribution made it difficult for participants at the far end of the table to be heard.
Client’s Expectations: A system that captures every voice with precision and amplifies it with high-fidelity quality so that every participant, in every corner of the room, hears clearly.
Hybrid Connectivity
The Issues: Standard webcams lacked the range to capture a full boardroom, making remote participants feel disconnected from the physical meeting.
Client’s Expectations: A professional video conferencing suite featuring PTZ camera tracking to provide a seamless, face-to-face experience for remote stakeholders.
Wireless Collaboration
The Issues: Tangled cables and limited inputs made switching between different presenters’ laptops slow and unprofessional.
Client’s Expectations: A seamless integration of wired and wireless projection allowing multiple users to share content instantly.
The Solution
To ensure a seamless, hassle-free implementation, the V-Series System Integration team conducted extensive site assessments to design a custom-tailored ecosystem. The final deployment focused on merging high-durability hardware with intuitive user controls.
- High Clarity Visual Performance
The boardroom’s visual anchor is a cutting-edge P1.86 COB (Chip-on-Board) LED Screen, strategically positioned at the front of the executive table. We selected the P1.86 pixel pitch specifically to ensure that maps and fine text remain perfectly sharp, even for participants seated closest to the display. Beyond its 10,000:1 high contrast ratio—which delivers deep “true black” levels and vibrant colors—the COB encapsulation provides a rugged, durable surface that is waterproof, dustproof, and scratch-proof, protecting the investment from physical contact and environmental factors.
2. Distributed Audio Excellence
For audio, we prioritized clarity and aesthetic integration. We implemented a V-Series Delegate Table Microphone System, giving each participant a dedicated unit to capture speech with studio-like precision. This is complemented by a distributed network of Optimal Audio UP6 6″ Ceiling Speakers, which provide a wide, conical coverage pattern for uniform sound. The system is powered by an Optimal Audio Zone 4P Controller integrated with a DSP and WebApp interface, offering a cost-effective yet sophisticated way to manage the room’s audio environment with ease.
3. Advanced BYOD Connectivity
To bridge the gap between physical and virtual collaboration, we deployed the V-Series VX100Pro Wireless Presentation System. This high-performance kit realizes the true integration of wired and wireless displays, supporting up to 9 simultaneous 1080p channels via USB-C, HDMI, USB dongles, Miracast, and AirPlay. To further streamline the workflow, we integrated 4K High-Definition PTZ Cameras directly into the VX100Pro hub. This allows the cameras to serve as a high-quality input source for virtual briefings, ensuring flexible room coverage and professional-grade live streaming.


The Result
The successful implementation of this turnkey solution has fundamentally transformed how NADMA conducts its executive sessions. By merging the resilient P1.86 COB LED technology with a 9-channel wireless collaboration hub and a robust Optimal Audio backbone, V-Series has provided a boardroom that is truly fit for the digital age.
The transition has eliminated technical friction; presenters can now switch between devices wirelessly in seconds, and remote participants hear every word with crystal clarity.
